PROPERTY MANAGEMENT
There’s no need to always worry about the exterior of the buildings and the condition of the neighborhood. Golden Valley Property Management provides the services required to make sure an Association stays in pristine condition. GVPM’s property managers are routinely in the area making sure everything is operating smoothly, and ensuring and problems get resolved as quickly as possible. And if changes need to be made with a vendor, GVPM has that covered as well.

Services Offered:

  • As authorized by the Board, direct and order to be done those things that are necessary to maintain the property in accordance with the provisions of the operating budget. Golden Valley Property Management shall not be responsible for taking any action unless directed by the Board.
  • Golden Valley Property Management shall have the authority to initiate maintenance repairs for non-recurring items (at a maximum cost of $500) without prior direction from the Board.
  • On behalf of the Association, and as authorized by the Board, direct employees dedicated exclusively to the Association, if any. Any employee hired for the Association may be an employee of the Association or of Golden Valley Property Management as may be mutually agreed upon. All remuneration payable to such employees and/or salaries, tax, benefits and other expenses payable on account of such employees shall be operating expenses of the Association and shall by paid by GVPM out of the funds of the Association.
  • As authorized by the Board, negotiate and execute, on behalf of the Association, contracts for water, electricity, landscaping, trash removal and such other services for the Association as may be necessary and advisable. Golden Valley Property Management shall also purchase on behalf of the Association such equipment, tools, appliances, materials and supplies for the proper maintenance of the Association. All such purchases and contracts shall be in the name and at the expense of the Association.
  • Physically visit the Association on a monthly basis to record, monitor and observe open and obvious deed restriction violations from Common Area streets, driveways or sidewalks. This includes entering data and maintenance of computerized reports of violations, sending notices to owners, maintaining current status of violations and interacting with the Board of Directors regarding violations.

ADMINISTRATIVE MANAGEMENT
Instead of the association’s Board of Directors having to handle every issue that arises, let Golden Valley Property Management take care of the legwork for you.

Services Offered:

  • Guide and assist members of the Board in the performance of their obligations.
  • Guide and assist the Board in the development of policies and procedures.
  • Organize and attend the annual meeting of Owners, including preparation of notices, agendas and other necessary documents. Notices are billed per Exhibit A. Organize and attend monthly meetings of the Board of the Association, including the preparation of notices, agendas and other necessary documents. Notices are billed.
  • Keep all records of the affairs of the Association and the Board, including, but not limited to, the Declaration, Articles of Incorporation, Bylaws, rules and regulations, policies, minutes of meetings, copies of contracts, financial records, etc. (which initial documents are to be provided to Golden Valley by the Association) and maintain all such documents in a current status. All such records shall belong to the Association.
  • Maintain registers of Owners, Officers and Directors and such other registers or schedules as may be required by the Governing Documents, the initial information for all of which is to be provided to Golden Valley by the Association.
  • Attend to necessary correspondence.
  • Assist in resolving individual Owner requests as they pertain to the administration of the Association, the common elements and governing rules and regulations.

FINANCIAL MANAGEMENT
Collecting dues or following up on fines are always a hassle, especially in large neighborhoods. But Golden Valley Property Management’s financial services takes the headache out of it. GVPM’s team of accountants keeps diligent and easily accessible records for every property in the Association.

Services Offered:

  • Prepare a recommended annual budget. The budget shall be based on prior operating expenditures, estimated future expenses, and required or needed capital reserves as determined by the Board. Golden Valley Property Management shall not be responsible for any discrepancies between the budget and actual expenses, the budget being an estimate to be used only as a guide. The budget shall be submitted to the Board for its consideration and adoption.
  • Account for all assessments and other charges due by or received from Owners.
  • Maintain checking, savings and other investment accounts in the name of the Association at a bank whose deposits are insured by the Federal Deposit Insurance Corporation named by Golden Valley Property Management with at least two members of the Board being among the authorized signatories on behalf of the Association and maintain comprehensive records thereof; each of such accounts to be separate and apart from all other accounts of GVPM and the amounts therein not to be commingled with any other funds controlled by GVPM.
  • Mail notices of delinquency to any Owner in arrears and take such reasonable action for the collection of the delinquent assessments and for other charges or fees due the Association as the Board may determine in accordance with the Governing Documents and adopted policy procedures.
  • Prepare all demand letters and lien/lien releases for delinquent owners.
  • Make all disbursements from assessments collected for normal recurring expenses. Approval shall be deemed on acceptance of the monthly financial statement at the subsequent meeting of the Board. All capital expenditures shall require Board approval.
  • Furnish a monthly financial statement prepared on a cash basis, which will include all income and expenses and will reflect the net cash position of the Association.
  • Prepare and mail the Arizona Corporate Commission Annual Report. The filing fee will be the responsibility of the Association.
  • Prepare and mail the federal and state corporate tax returns. Any tax liabilities are the responsibility of the Association. The fee will be the responsibility of the Association.

MAINTENANCE
Golden Valley Maintenance (GVM) was started in order to serve our existing HOA clients. We quickly learned, however, that both owners in our HOAs as well as the general public desired licensed, bonded and insured handyman services.

Services Offered:

GVM has a wide variety of services and the types of projects are as varied as the decorating in different homes. Our past work has included:

  • Installing curfew and "No Trespassing" signs.
  • Water leak damage control (drywall and paint).
  • Storm damage debris removal.
  • Light bulb replacement.
  • Toilet and sink repair.
  • Installing pool signs.
  • Securing a pool equipment area.
  • Closet remodels (carpentry).
  • Ceiling fan installation.
  • Commercial tenant improvements.

CREDIT CARD AND E-CHECK PAYMENTS
U.S. Bank has selected Golden Valley Property Management to be one of a select few management companies nationwide to pilot its HOA credit card and E-check payment processing service. Via the GVPM website, any owner can pay the monthly, quarterly or annual HOA assessment online.

If you desire to change bank accounts or select which day to pay (and what amount), you can use the easy E-checking solution. It gives you the power to make these important financial decisions.

Within five minutes of logging on, you can have your whole year paid ahead. Just approve the small convenience fee and you’re ready to go.

This service should be available to all GVPM clients by the end of 2007.

COLLECTIONS

No one likes collecting assessments from neighbors. At the same time, the delinquent owner doesn't have a right to withhold payment while everyone else pays their share. Now GVPM can help your community collect these fees by doing the same work that your law firm was doing, but at a fraction of the cost.

Services Offered:

Demand Letters and Lien Processing: We'll take your Demand Letter generation and Lien Processing away from high-priced law firms and give you the same quality work and results.

If the Reminder Letter hasn't caught the owner's attention, stronger action is needed. We will then send your delinquent homeowner a Demand Letter. If that certified letter hasn't elicited payment in full or an HOA-approved payment plan, then we'll take action by filing a Lien.

TAX RETURN PREPARATION
Golden Valley Property Management's Clients have been using GVPM's tax return services for several years. With all of your financial information at our fingertips, we can quickly and accurately prepare your state and federal returns. With very few exceptions, your federal tax obligation will be zero and your state obligation will be the minimum of $45.

With everything going on at the beginning of a new year, selecting GVPM's tax preparation service will assure that your tax returns are filed promptly and with no hassle.
